Part-Time Executive Assistant
Our Client is a renowned guide, retreat leader, and community builder whose work blends spiritual depth with practical structure. They run a thriving 1:1 client practice, host intimate retreats, and lead community events that hold space for individuals as they step into their most sovereign, expansive selves.
What our client needs:
Our client is looking for a Director of Details who will own the logistics, systems, and follow-through that lets them operate in their zone of genius. This role is for someone who operates in their own authority, anticipates what’s needed, and takes pride in creating a seamless, elevated experience for their clients.
Your Responsibilities:
- Client & Community Communications:
- Manage the daily rhythm of sending session recordings and highlights to clients within 24 hours (building automation where possible)
- Coordinate Mailchimp newsletter content and manage the ongoing email list
- Maintain a consistent flow between emails, funnels, and client touchpoints
- Scheduling & Session Logistics:
- Manage Calendly scheduling and client rescheduling requests
- Own Zoom logistics end-to-end: correct links, joining 10 minutes early, and setting the container for each call
- Coordinate AI notetaker automation so recordings and notes are captured and distributed automatically after every call
- Retreats & Events:
- Support retreat logistics, travel coordination, and day-of communications for retreats in France and the U.S.
- On occasion, travel to retreats (France retreats optional; domestic retreats prioritized for in-person support), managing document sharing, testimonials, and real-time customer service onsite
- Content & Social Coordination:
- Serve as the liaison between our client and her social media/content team
- Provide the team with visuals, photos, and landing pages needed for retreat and program promotion
- Manage podcast upload and distribution
- Support project-based funnels and launches creatively, bringing forward ideas rather than waiting to be told
- Customer Service & Fulfillment:
- Coordinate shipping and fulfillment for Cosmic Compass game materials
- Field general customer service questions from clients and community members
- Business Development Support:
- Research aligned women's communities for potential partnership and outreach
- Draft introductory emails connecting community leaders to our client's offerings

Compensation & Logistics:
- Part-time structure: Approximately 15 hours per week
- Contract Structure: 1099
- Pay Rate - $30-35/hour
This role requires prior remote EA experience and the ability to travel occasionally.
